Privacy Policy and Personal Data Processing

This Privacy Policy and Personal Data Processing Policy (the "Policy") describes how PROTEC, a Colombian company identified with NIT 900.123.456-7, with principal domicile at Calle 37 b sur #69-62, Barrio Carvajal, Bogotá D.C. ("PROTEC" or the "Controller"), collects, stores, uses, circulates and deletes the personal data of its data subjects, in compliance with Law 1581 of 2012, Decree 1377 of 2013 and other related rules governing personal data protection in Colombia.

2. Definitions
For the purposes of this Policy, the following terms apply:
- Authorization: prior, express and informed consent of the Data Subject to carry out the Processing of personal data.
- Database: organized set of personal data subject to Processing.
- Personal data: any information linked or that may be associated with one or more determined or determinable natural persons.
- Sensitive data: data affecting the privacy of the Data Subject or whose improper use may generate discrimination.
- Processor: natural or legal person who carries out Processing of personal data on behalf of the Controller.
- Controller: natural or legal person who decides on the database and/or the Processing of data. In this case, PROTEC.
- Data Subject: natural person whose personal data is subject to Processing.
- Processing: any operation or set of operations on personal data (collection, storage, use, circulation or deletion).
3. Principles applicable to Processing
PROTEC applies the following principles when processing personal data:
- Legality: Processing is subject to Law 1581 of 2012 and related regulations.
- Purpose: Processing serves a legitimate purpose informed to the Data Subject.
- Freedom: Processing is carried out with prior, express and informed consent of the Data Subject.
- Truthfulness or quality: information subject to Processing must be truthful, complete, accurate, up-to-date, verifiable and understandable.
- Transparency: the Data Subject has the right to obtain information about their data at any time.
- Restricted access and circulation: Processing may only be carried out by persons authorized by the Data Subject or by law.
- Security: technical, human and administrative measures are applied to guarantee the security of records.
- Confidentiality: all persons involved in Processing are obliged to guarantee the confidentiality of the information.
4. Personal data collected
PROTEC collects and processes the following types of personal data:
- Identification data: first and last names, type and number of identification document, position and company.
- Contact data: address, landline, mobile phone, email.
- Commercial data: information about the operation or technical need of the prospect or client.
- Transactional data: order history, billing and payments for active clients.
PROTEC does not collect sensitive data through its website. It also does not use tracking tools, third-party cookies, advertising pixels or analytics services that collect personal information from visitors.
5. Purposes of Processing
Personal data collected by PROTEC will be processed for the following purposes:
- Handle quotation, technical advisory and commercial information requests.
- Manage the commercial relationship with clients, suppliers and strategic partners.
- Invoice and manage payments arising from contracted services and products.
- Provide post-sale services, maintenance and technical support.
- Send commercial communications about products, services and news related to the meat industry, provided the Data Subject has authorized it.
- Comply with legal, accounting, tax and regulatory obligations.
- Conduct internal quality and customer satisfaction studies.
6. Rights of the Data Subject
In accordance with Article 8 of Law 1581 of 2012, Data Subjects have the following rights:
- Access, update and rectify their personal data.
- Request proof of the authorization granted to the Controller.
- Be informed by the Controller, upon request, about the use given to their personal data.
- File complaints with the Superintendence of Industry and Commerce regarding violations of Law 1581 of 2012.
- Revoke the authorization and/or request deletion of data when the Processing does not respect constitutional and legal principles, rights and guarantees.
- Free access to their personal data subject to Processing.
7. Mechanisms to exercise rights
The Data Subject may exercise their rights through the following channels:

PROTEC will respond to inquiries within ten (10) business days and to complaints within fifteen (15) business days, counted from the day following receipt, in accordance with Law 1581 of 2012.
8. Validity and retention of data
Personal data will be retained for the time necessary to fulfill the purposes for which they were collected, as well as to comply with applicable legal, contractual and archive obligations. Once these periods are met, the data will be securely deleted.
9. Transfer and transmission of data
PROTEC may transfer or transmit personal data to Processors or third parties, in Colombia or abroad, exclusively to fulfill the authorized purposes, ensuring that such third parties offer adequate levels of protection and sign the corresponding contractual commitments.
10. Security measures
PROTEC implements reasonable technical, human and administrative measures to protect personal data against tampering, loss, consultation, unauthorized or fraudulent use or access.
11. Use of cookies
The PROTEC website does not use tracking, analytics or advertising cookies. No third-party pixels, social media scripts or behavior measurement tools are loaded. Only strictly technical cookies are used, where necessary, to enable basic site functionality (e.g., to maintain a session in forms); these are exempt from the prior consent requirement under current regulations.
12. Modifications
PROTEC reserves the right to modify this Policy at any time. Modifications will be published on the website and notified to the Data Subject in case of substantial changes.
13. Supervisory authority
The supervisory authority on personal data protection in Colombia is the Superintendence of Industry and Commerce, before whom the Data Subject may file complaints and claims.
